Terms and Conditions for Use of AI
1. Introduction
Peoplebox.ai (“Peoplebox”, “We”, “Us”) provides AI-powered features leveraging OpenAI APIs to assist users in writing performance reviews and other similar functions by providing suggestions for refining text, such as shortening, expanding, rephrasing, or adjusting tone. However, these features do not replace independent human judgment.
By using AI-powered features, You (“You”, “User”) agree to these AI Terms, which supplement and form a part of the Peoplebox.ai Terms of Service (“Agreement”). Users remain fully responsible for the content they submit, modify, and finalize using AI-powered features. If You do not agree with these AI Terms, You must not use the AI System.
2. AI Content
2.1 Input Disclaimer
You or Authorized Users may provide input data to the AI System (“Input”) and receive AI-
generated recommendations, refinements, or rephrased text output generated by the AI System
(“Output”). Together, Input and Output are referred to as “AI Content.” Users are responsible
for ensuring that Inputs do not contain confidential or sensitive data prohibited by applicable
laws or the Agreement.
2.2 Output Disclaimer
Users acknowledge that AI-generated Output is probabilistic and may not always be accurate,
complete, or contextually appropriate. Users must review and validate Outputs before relying
on them for any performance evaluation or employment-related decisions
2.3 Customer Data
AI Content is considered Customer Data under the Agreement. You acknowledge that AI
Content may not be unique and that similar Input from other users may result in similar or
identical Output. Such Output is not proprietary to any individual User or Customer.
2.4 User Responsibilities
You agree not to reverse engineer, modify, or attempt to extract the source code of the AI
System. Users must ensure that any AI-generated Content integrated into performance reviews
or otherwise complies with applicable employment laws and organizational policies
2.5 Right to Use
You grant Peoplebox the right to process Inputs, Outputs, and other Customer Data submitted to the AI System to provide and improve AI-powered features. This includes the use of third-party service providers in accordance with Section 5 (Data Privacy).
2.4 Intellectual Property Rights
Peoplebox retains all ownership and intellectual property rights in the AI System, including its features, functionalities, and any improvements or modifications. No additional rights or licenses are granted to You beyond those explicitly stated in these AI Terms.
3. Our Commitments
3.1 Data Usage
AI Content or Customer Data will only be used in anonymised or aggregated form to improve the AI System. Peoplebox will not utilise AI Content or Customer Data to train AI models without your explicit consent. The AI System does not permit third-party access to Your data for model training
3.2 Feedback
You may voluntarily provide feedback (e.g., rating Output) regarding the AI System. We may
use such feedback to improve AI-powered features without restriction. , You assign all rights,
title, and interest in the feedback to Peoplebox.
Peoplebox may use, exploit, and commercialize the feedback for any purpose, including but not limited to improving, developing, and marketing its products and services, without any obligation to compensate You. You agree that no rights or licenses are granted to You in relation to any improvements or developments made based on Your feedback.
3.3 Availability
AI-powered features will be available as per Your Agreement or any applicable Service Level Agreement (SLA). However, we do not guarantee uninterrupted access, especially if issues arise from third-party providers.
4. User Responsibilities and Restrictions
4.1 Proper Use
You agree that AI Content and the use of AI-powered features will not:
I) Violate any applicable laws or regulations, including those related to employment and
anti-discrimination;
II) Infringe on the rights of any third party;
III) Facilitate any biased employment practices;
IV) Generate or disseminate offensive, obscene, or discriminatory material or content, or
malicious code;
V) Circumvent safety features or protections built into the AI System.
VI) Be used to mislead others into believing the Output is human-generated.
4.2 Fair Use
To maintain service quality, excessive or unreasonable usage that negatively impacts other users is prohibited. Peoplebox.ai reserves the right to monitor usage and impose limits if needed.
4.3 Verification of Accuracy
Due to the nature of AI, Outputs may contain errors, outdated information, or “hallucinations.” Users must independently verify the accuracy of Outputs before relying on them.
4.4 Use Restrictions
You may not use AI-powered features: (i) To develop competing AI models; (ii) To create misleading or deceptive content; (iii) In a manner that violates OpenAI’s policies or other applicable guidelines.
4.5 Suspension and Termination
Peoplebox.ai reserves the right to suspend or terminate access to AI-powered features if these AI Terms are violated.
5. Data Privacy
If Your Input contains personal data, You instruct Peoplebox.ai and its third-party providers to process such data per Peoplebox’s Data Processing Agreement (DPA). The DPA governs all personal data processing activities.
6. Disclaimers and Limitations of Liability
AI-powered features are provided “as is” without warranties of any kind. Peoplebox.ai is not liable for any damages arising from Your use of AI-powered features. It is further clarified that Peoplebox is not liable for decisions made based on Outputs, and any Output does not represent the views of Peoplebox. Users are responsible for implementing appropriate human oversight and safeguards when using AI-generated content in employment-related decisions
7. Modifications
We may introduce new features and modify these AI Terms accordingly. We will provide reasonable notice before changes take effect.
8. Governing Law and Dispute Resolution
These AI Terms shall be governed by the laws applicable under the Agreement. Any disputes will be resolved as outlined in the Agreement.
By using AI-powered features, You acknowledge that You have read, understood, and agreed to these AI Terms.
